CHS Music Boosters Meeting Minutes

Call to Order
- The
Music Boosters meeting was called to order at 7:30 p.m. by Tony Caracciolo.
Welcoming comments and the meeting agenda was presented.
Secretary’s Report
- A
summary of last month’s minutes was presented by Susan Stephey. The
minutes are available at www.knightsmusic.org.
A motion to accept the minutes for the December meeting was made by Deb
Ruark and seconded by Jim Kelley.
Treasurer’s Report
- Debbie
Ruark presented the budget. Clothing sales continue to be fairly strong
and have brought in $3,300. With the 2007-2008 budget at $49,100, the
Music Boosters organization still needs to raise $17,962 to cover ongoing
expenses that include the lease agreement, instructor payment, indoor
guard, et cetera. Additionally, taxes on the sale of clothing have
increased resulting in a higher taxes budget line item for the remainder
of 2008. The budget was motioned to
be approved by Cheryl Benitez and seconded by Cindy Lewis.
Ways and Means Committee
- Suzanne
Reamer was unable to attend the meeting. Tony C. reiterated the need for a
committee to begin planning for the Banner Program. Anyone with experience
in sales may wish to consider being involved in this endeavor. Please
contact Tony C. if interested. A
Vera Bradley Bingo is scheduled for May 3rd. Suzanne Reamer
will be heading this effort. Additional information and a request for volunteers
are forthcoming. Jim Kelley has volunteered to head up a fundraising
basketball game with the Tiny Trotters. Hopefully, this can be scheduled
for February or March. Watch for more information. Tony presented the idea
of one Music Boosters fundraiser per month. Aggressive fundraising is
needed to enhance our growing music program and to take the CHS music
program “to the next level”. Each
of the three Music Program Liaisons will be responsible for coordinating a
fundraiser approximately every three months. Tony will be in contact with
each of the liaisons to further define this and establish a schedule.
- GL Scrip card program. POC is
Suzanne Reamer. A list of all participating businesses is available at www.glscrip.com. Suzanne’s e-mail is suzo@dellmail.com.
- Visitourmall.com. Please checkout
“visitourmall.com” for convenient online shopping. A percentage of every
purchase made through this website is deposited into the Music Boosters
account. Simply go to “visitourmall.com”, click “Find Group”, scroll to
and click on “Century High School Music Boosters”, and start shopping! Or
visit the mall through the Century Knights home webpage at
knightsmusic.org.
- GoodSearch.com. This is a
Yahoo-based search engine and earns the music boosters .01 for every valid
search. Click on “Century High School Music Boosters (Sykesville, MD)” to
designate CHS as the organization to receive credit. Deb Ruark received
our first check from GoodSearch. It was a nominal amount (about $35.00)
but only included a couple months of usage. GoodSearch only sends out payment once a
year. For Oct 2007 to date, we are just shy of $100.00. Keep on searching!
- Banners. As stated above, a
committee is needed to manage this effort. The Carroll County Board of
Education has issued guidelines regarding the sponsorship program for CCPS.
Everyone involved in a music program at Century High School
is encouraged to contact friends and business owners to see if they are
interested in sponsoring Century. As a Thank You for sponsorships of $500
or $1000, we will display a banner in the stadium with the company’s color
logo. Specifics and forms are available on the Music Boosters website.
Prior to contacting any company, please verify with Debbie Prince, Main
Office Secretary at Century, whether or not the business has already been
contacted.
- eScrip. By using loyalty club
cards (i.e. Safeway Club Card), credit cards (i.e., Macy’s credit card or
Macy’s Visa card), and debit cards that have been registered with eScrip.
There is a 6-step process to register any cards you feel comfortable
registering with the program. Please register your cards at www.escrip.com. A group ID number or
name must be entered in step 1 of the registration. Our information is:
GROUP ID # 148958018 or use the
group name CENTURY MUSIC BOOSTERS
INC. This is a very simple way to raise money for the CHS music
program!
Music Director’s Report/Choral Director’s Report
- Mr.
Askew was unable to attend the meeting. Rob Mattera was present and provided
information regarding the upcoming KIDA Preview Indoor Show which is
scheduled for Jan 26th. Jim Kelley is working with Rob on the
details and will hold a general meeting sometime next week to organize our
volunteer effort. In the past, 37 ensembles have participated in the KIDA
Preview Show. As of Jan 3rd, 30 ensembles have registered. Rob expects
several more groups to sign up. Note: Please contact Mr. Cockley to have
the KIDA Preview Show advertised on the marquee board in front of the school.
The CHS indoor guard will hold their first practice this Saturday, Jan 5,
2007, at which time the first payment is due.
- Choral Director, Heather Caporaso
was unable to attend the meeting.
Nominations Committee
- Mary
Laulis, Trudy Wadsworth, and Nancy Thompson presented a ballot for the election
of officers for the Executive Board. The ballot is as follows:

The roles of each Vice President will be defined at a later
time. The Music Booster Bylaws will be amended to add an Assistant Treasurer. One
role of Ways and Means will involve coordinating with the music program
liaisons and the principal at Century for fundraising efforts. The role of
Secretary will now encompass communications to all music program families via
email in addition to local newspaper publicity. The role of Historian will
include maintenance of records for the various CHS music program
accomplishments, in addition to preparation of material for presentation at
events such as the Senior Banquet and the Marching Band Banquet.
The Ballot was amended to add Scott Stewart as Assistant
Treasurer and to combine the Liaison positions for Band and Orchestra. A motion
to accept the amended ballot was made by Jim Kelley and seconded by Moe Ruark.
A vote was taken by all attendees and was unanimously approved. February and
March will serve as a mentoring time period before the new Board will
officially take office in April.
Next Meeting
- The next
Music Boosters meeting will be on February 7th at 7:30 p.m. The
Executive Board will meet at 6:30 p.m.
