CHS Music Boosters Meeting Minutes

Call to Order

  • The Music Boosters meeting was called to order at 7:30p.m. by Tony Caracciolo.  Tony also expressed a heartfelt “thank you” on behalf of the Boosters to outgoing officers Deb Ruark, Susan Stephey, Suzanne Reamer and Cindy Lewis for all their dedication and hard work over the years.  New officers were also welcomed: John Bushey (VP), Nancy Thompson (VP), Scott Stewart (Treasurer), Sharron Antolick (Secretary) and Judy Bushey (Ways and Means). Due to time commitments, Michelle Harrod resigned as co-treasurer elect.

 

Secretary’s Report

  • Sharron A presented a summary of last month’s minutes.  The minutes are available at www.knightsmusic.org.  A motion to accept the minutes for the February meeting was made by Deb Ruark and seconded by Derrick Askew.

 

Treasurer’s Report

  • Scott Stewart presented the budget.  The projected deficit for fiscal year 2007 is $3500.  The remaining fundraisers for this year should generate enough revenue to cover these costs.  Concerns were raised regarding the current transportation invoices since fees were not itemized.  The possibility of putting transportation up for bid was discussed.  Scott will pursue an itemized bill for services from Carol Johnson, along with unit charges. Derrick stated that there will be an increase in Marching Band (MB) fees next year.  Travel radius will be reduced to control transportation costs.  A transportation fee per MB member may be added next year if necessary.
  • There was a discussion regarding allocation of revenue generated by fundraising to individual groups (Marching Band, Choir, Instrumental, and Orchestra) or to the Music Booster organization as a whole.  Derrick shared issues that would make separation of funds difficult. (instruments are shared between groups, need to build choral group, many students participate in more than one group, scheduling classes is difficult ect…)  Tony stated that the liaison’s role was to get each group involved in fundraising so everyone could benefit. Individual groups can not be separated out.  We need to work for the good of all. The budget was motioned to be approved by Moe Ruark and was seconded by Derrick Askew.

 

Music Booster Financial Audit

·         Tony contacted a McDaniel College student to see if he could help with the audit.  Costs were above budget so other avenues will be pursued.  Marty M.  and John Bushey will check into alternatives.

 

Music Director’s Report/Choral Director’s Report

  • Derrick said that budgeting was in progress and he is looking at next year as a “zero growth year”.  The music and marching band program preliminary costs are “down 2k “ from last years request which should be viewed positively.  He is trying to control costs and is encouraging the Boosters to “boost revenue to balance expenses”.
  •  Derrick asked for two volunteers to attend this year’s instrumental music adjudication at Westminster High School.
  •  PDP has not forwarded info to Derrick as of yet.  Sharron A. will follow up and call PDP.
  • Derrick has passed out Yankee Candle fundraiser packets to music students and will see if he can get Mr. Cockley to announce the fundraiser on E School Newsletter.  
  • The Knight of Reckoning Show is scheduled for September 27, 2008 and USSBA Maryland/Delaware State Championship is scheduled for October 18th.  States has the possibility of being a two or three way split show lasting the entire day and into the evening. 
  • The Pops Concert will NOT be held on May 10th.  Derrick is looking into the possibility of Sunday, April 27th in the afternoon.
  • Heather Caporaso was not able to attend tonight’s meeting   

 

Ways and Means Committee

Judy Bushey reported on the following

  • Tiny Trotters Basketball   March 28 2008 at 7:00. Deb Ruark made the motion for ticket prices to be  $8 in advance, $10 at the door, $5 for 8 year olds and under.  Sharron A. seconded.  The Boosters will earn 40% of ticket sales and 100% of concession sales.  Each music student will be encouraged to sell 4 tickets.  Money must be handed in before tickets are distributed.  Susan Stephey and Sharron A will contact the newspapers. Susan S. and Scott Stewart will take care of printing tickets.  Susan will also look into the need for a permit for the 50/50 half court shot.  Tony shared “a few hotel rooms” will need to be provided for the Trotters.
  • Pancake Breakfast  April 11, 2008 at 8:00a.m. before Spring Boutique.  $6  per breakfast.  Admission to Boutique free with breakfast purchase. 
  • Vera Bradley Bingo May 3, 2008.  Tickets have been ordered.  Nancy and John will take care of POC for flyers.  Bags need to be sponsored and filled.  John and Judy Bushey are looking into this.
  • Banner Sales are in progress.  Marty M., Scott and John will reschedule this week’s meeting.
  • Guitar Hero Tournament  April 25, 2008.  John Bushey and Traj are working out the details
  • GL Scrip card program. POC is Suzanne Reamer. A list of all participating businesses is available at www.glscrip.com. Suzanne’s e-mail is suzo@dellmail.com.

Or visit the mall through the Century Knights home webpage at knightsmusic.org.
  • GoodSearch.com. This is a Yahoo-based search engine and earns the music boosters .01 for every valid search. Click on “Century High School Music Boosters (Sykesville, MD)” to designate CHS as the organization to receive credit. Keep on searching!
  • eScrip. By using loyalty club cards (i.e. Safeway Club Card), credit cards (i.e., Macy’s credit card or Macy’s Visa card), and debit cards that have been registered with eScrip. There is a 6-step process to register any cards you feel comfortable registering with the program. Please register your cards at www.escrip.com. A group ID number or name must be entered in step 1 of the registration. Our information is: GROUP ID # 148958018 or use the group name CENTURY MUSIC BOOSTERS INC. This is a very simple way to raise money for the CHS music program!

 

Liaison Report 

  • Choral-Dawn A- Heather is requesting sheet music for next year and possibly new outfits.  She is considering doing fundraiser but needs e mail addresses in order to contact people. 
  • Band/Orchestra-Marty M/Jennifer Wise-neither present at meeting
  • Marching Band-Jim Kelly-not present at meeting
  • Historians-Teri McLeod and Maureen Stewart- nothing to report

 

Scholarship Committee

  • Teri McLeod reported on the initial meeting held on February 28th.  Previous paperwork was updated.  There will be three, $500 scholarships awarded.  May 9, 2008 is the deadline for applications.  Marty M. will get the paperwork to Guidance.

 

VP Comments

  • Scott looked into the Combined Federal Campaign grant that was not applicable to our organization.
  • John and Susan S. are looking into a MB documentary “From the 50 Yard Line” to show at Century as a fundraiser and recruiting opportunity.
  • Matilda, the CHS Marching Band Pig has a link on the Booster site.  Check it out!!
  • Nancy asked if the liaisons could obtain lists of students for Spring concert programs. Derrick and Heather have class lists.  Patrons will be pursued as a fundraiser.  Rob Holt will help with programs.

 

Miscellaneous

  • House Bill 787 regarding exempting Marching Bands from local noise ordinances and allowing practice until 9:30 p.m. will be voted on March 12, 2008 in Annapolis.  John and Tony will represent Carroll County. 
  • Brittney Vrzak addressed the Boosters to gain support and suggestions for her idea of making Marching Band an academic class.  She was well spoken and well received. Tony, Bob McLeod and Rob Holt gave specific input.  Brittney was advised to contact Mr. Jeff Rodgers, Fine Arts Director of Carroll County Schools.  Great job Brittney!  Keep up the good work!
  • A “posture chair” was left behind at the KIDA show.  Judy Bushey will check with custodians about possible whereabouts.

 

Next Meeting

  • The next Music Booster meeting will be held on Thursday April 10th at 7:00 so that everyone can attend opening night of “The Music Man” and support our talented students on April 3.
